GFI MailArchiver archives more than just your email. Following last year’s addition of simple file archiving, the GFI MailArchiver team is introducing archiving of calendar items and meeting requests. Product manager Ian Bugeja tells us a bit more about the latest features.
Ian, why calendar archiving?
Everybody uses the Calendar feature to schedule and arrange meetings and their diary for the day. In many companies, meetings are set and scheduled using meeting requests, and these are basically emails too. So the only logical location to store similar items for future reference is the archive. GFI MailArchiver is a powerful email archiving solution and calendar archiving is something our customers asked for… so here we are.
Having the ability to see what your calendar looked like a year or two ago is great. With GFI MailArchiver our customers have a calendar view of their calendars at a particular time. Archiving of calendar items and meeting requests is not an easy task so we only archive calendar items once the meeting starts. This makes the calendar archive easier to manage. Users can open calendar items and view the content just like they look at an email.
Any other features have been added?
We have introduced a new feature that enables users in different time zones to connect to the same GFI MailArchiver and each user would view the email’s date and time in his own time zone. We have also added notifications when archiving stops.
What is this notification?
This feature has been requested numerous times by admins on ideas.gfi.com. With this feature admins receive a notification if GFI MailArchiver is not archiving emails. This could be a result of an expired journal password or the disk is running out of space. When something happens the admin is notified. This feature only works on weekdays by default so that if emails are not received over the weekend, a notification is not sent out.
Are there any changes to MailInsights?
Yes there are! We have a new MailInsights report for ‘Large Emails’. This report lists all emails that are larger than a specified size so the admin can easily identify users who are sending out large emails/files, possibly in abuse of the email infrastructure. These employees’ actions could be a root cause for the need for increasing storage. The report also identifies the file category so that the admin can identify those files that are purely for ‘business’.
